Service Fee: Due to fluctuations in demand and supply during peak season, some prices for certain packages may be subject to change. As a result, a 30% service fee will be applied to the actual cost of the tour/package.
The Customer may place a booking or reservation for a tour or service either orally (via phone or in-person) or in writing (via email, online form, or other communication methods). Such a booking or reservation shall constitute an offer by the Customer to the Company to provide the requested services, subject to availability and the Company's terms and conditions.
The Company reserves the right to accept the Customer's booking or reservation in whole or in part, based on availability and any applicable terms and conditions. If only part of the booking can be confirmed, the Company will notify the Customer accordingly.
A 60% deposit is required at the time of booking to secure your reservation. The balance is due at least 14 days prior to the tour’s departure. Full payment is required for bookings made within 14 days of the tour date. Payment is accepted through various secure methods, including bank transfer, credit card, and online payment platforms.
Upon payment of the deposit by the Customer, a contract shall be deemed to have been formed between the Customer and the Company for the provision of the tour or services the Company has agreed to supply, subject to the terms and conditions outlined by the Company.
Changes to Bookings :Any changes to your booking (e.g., date changes, group size adjustments) must be made at least 7 days in advance. Subject to availability, changes will be accommodated; however, additional charges may apply.
Upon acceptance of a booking or reservation by the Company, the booking shall not be subject to cancellation or amendment by the Customer in any manner whatsoever, except in accordance with the Company's cancellation policy and with the prior written consent of a director of the Company. Any changes or cancellations will be subject to the terms and conditions outlined in the cancellation policy.
Notwithstanding the acceptance of any cancellation or amendment of a booking or reservation by the Company, the Company shall be entitled to recover any damages incurred as a result of such cancellation or amendment. This includes, but is not limited to, all costs, expenses, and loss of profit arising from or in connection with the cancellation or amendment.
Cancellations made 14 days or more before the tour will incur a 60% cancellation fee. Cancellations made less than 14 days before the tour will incur a 100% cancellation fee. In the event of a no-show, the full cost of the tour will be charged.
"Company" shall mean Roam Africa Expeditio"Customer,
Visitor or Guest" shall mean any person or persons or entities at whose request or on who behalf or in respect of whom the company undertakes any business
"Condition: shall mean the terms and conditions herein recorded.
"Contract " shall mean a contract of sale entered into between the Company and the Customer as detailed below.
Products" shall mean any good and or products supplied and or services rendered and or the giving of any advice and or any information, whether gratuitously or not, by the Company to the Customer
"Parties" shall mean the Company and the Customer
"Special Product" shall refer to tours, packages, or services that are specifically designed and supplied by the Company according to the specifications provided by the Customer. These products are typically purchased by a limited number of customers and are not readily available from other suppliers.

Value added TAX
The Customer shall be responsible for and undertakes to pay the Company, at the same time as it is obliged to pay any sum in respect of services rendered supplied, ant tax payable thereon, by the Company in terms of applicable legislations
Unless specifically stated to the contrary, all prices shall be exclusive of Value Added Tax for which the Customer shall be liable to pay.
Cancellation Policy
Cancellations made 14 days or more before the tour will incur a 60% cancellation fee. Cancellations made less than 14 days before the tour will incur a 100% cancellation fee. In the event of a no-show, the full cost of the tour will be charged.
Organization of the Tour
The Company strives to adhere to the outlined itinerary. However, we are not responsible for missed attractions or activities due to unforeseen circumstances such as transport delays, weather conditions, or force majeure events. While we aim to provide clear communication, any changes to the schedule or missed activities will not result in a refund or compensation.
Weather-Related Disruptions
Due to the nature of outdoor tours, bad weather conditions, including heavy rain, storms, or extreme temperatures, may disrupt activities or tours. The Company is not responsible for any cancellations, delays, or disruptions caused by weather-related issues. Guests should be prepared for varying weather conditions and ensure they bring appropriate clothing and equipment.
Natural Disasters & Emergencies
The Company is not liable for interruptions or cancellations caused by natural disasters (such as floods, earthquakes, or extreme weather) or unforeseen events, including political unrest or civil disturbances. In these cases, alternative arrangements may be provided, but no refunds will be issued for disruptions caused by force majeure events.
Transport Issues
The Company is not responsible for delays, accidents, or transport issues (including flight, train, or bus delays) that may affect the tour schedule. This includes breakdowns, accidents, or traffic delays that may affect transportation and schedules. We do our best to ensure smooth travel, but cannot guarantee punctuality or avoid external issues beyond our control.
Health and Safety Emergencies
If an injury or illness occurs during a tour, we will assist in providing support to the best of our ability. However, guests are responsible for carrying adequate travel insurance that covers emergency medical care, including repatriation. In some remote areas, medical facilities may not be readily available. Guests should prepare accordingly and take responsibility for their personal health.
Health, Safety & Medical Care
The Company prioritizes the safety and well-being of all guests. However, guests are reminded that participation in tours and activities is at their own risk. While we take precautions to ensure safety, we cannot be held liable for any injuries, illness, or accidents that occur during the tour. Guests are required to inform the company of any medical conditions or allergies prior to booking and ensure they have adequate personal health insurance that covers medical emergencies during the trip. In remote areas, medical facilities may not be readily available, and guests should be prepared for such situations. Additionally, all guests will be required to sign an indemnity form prior to participation, acknowledging the inherent risks and releasing the company from liability.
Cultural & Language Barriers
Guests are encouraged to respect local customs, traditions, and cultural practices. Roam Africa Expeditions is not liable for any misunderstandings due to language barriers or cultural differences that may occur during the tour. We encourage guests to ask questions and remain open to the cultural experiences provided by our expert guides.
Lost or Separated Tourists
While we take every precaution to ensure guests stay together during the tour, Roam Africa Expeditions is not responsible for guests who get lost or separated from the group. We strongly recommend that guests stay with the group and follow the guide’s instructions to avoid separation, particularly in unfamiliar or crowded locations.
Technical Issues & Venue Overcrowding
In the case of equipment failure (e.g., audio guides, transport malfunction), The Company will make reasonable efforts to remedy the situation. However, we are not responsible for any technical issues that may affect the experience. Additionally, if a venue is overcrowded or access is restricted, we cannot guarantee optimal viewing or experience of the attraction.
Group Dynamics
We take all reasonable steps to ensure the comfort and safety of all guests. However, the Compny is not responsible for conflicts or disruptions among tour members. If a guest behaves disruptively or in a way that threatens the safety or enjoyment of others, we reserve the right to remove them from the tour without a refund.
Liability Waiver
By booking a tour with the Company , you agree to release and hold harmless Roam Africa Expeditions and its employees, agents, contractors, or affiliates from any and all liability arising from accidents, injuries, losses, or damages during the course of the tour. You acknowledge that you have read and understood the risks involved and have obtained necessary insurance to cover these risks. Additionally, you agree to sign an indemnity form prior to departure, acknowledging your acceptance of the risks involved.
Indemnification
Guests agree to indemnify Roam Africa Expeditions and hold us harmless from any claim, demand, or liability arising out of their participation in the tour, including any injuries, losses, or damages that may occur during the trip.
Force Majeure
Roam Africa Expeditions will not be liable for any failure to perform our obligations under this agreement due to causes beyond our reasonable control, including but not limited to, natural disasters, weather conditions, strikes, transport disruptions, political instability, or any other unforeseen events.
